Job description

Situated in the Operational Capabilities Command (OCC) the Immigration Enforcement Health, Safety and Wellbeing (IE HSW) team leads on several critical areas of staff safety, incorporating Critical & Post Incident Management and Wellbeing, Health & Safety, Safe Systems of Work and Procedures, Policy and Legislation, Uniform, Operational equipment, Airwave communications and Fleet management.

This post requires a person with strong organisational skills who can manage a flexible workflow with multiple procedures, that is dynamic and organisationally sensitive.

The successful applicant will be an effective decision maker, who is able to navigate policy governed frameworks across a diverse and ever adapting portfolio. They will work with the team and to one of three Senior Executive Officers (SEO) working to the Assistant Director of Policy, Legislation, Uniform and Fleet, supporting business secretariat activity across the IE HSW unit. They must be fully conversant with current Microsoft software, including, Word, PowerPoint, and Excel, including use of Teams, SharePoint and OneDrive.

The nature of this role requires the post holder to be a proficient self-starter, who possess and demonstrates the highest levels of personal and professional integrity, balanced with empathy and diverse thinking.

This role will include travelling to different sites in the United Kingdom to support various OCC initiatives and to undertake management tasks related to the role and activities of the IE HSW unit. 

Please note: Due to the nature of the role this position is only open to full time members of staff.

Person specification

The main functions of the role include, but are not limited to:

• Providing secretariat and business support to His Majesty’s Inspectors, Senior Executive Officers and Assistant Directors (as required) in IE HSW.

• Supporting all secretariat functions, including local and department wide reporting of relevant metrics and financial/budgetary processes

• Secretariat support of several supporting boards and meeting structures including pre and post meeting preparation of key data, performance management information and delivery actions.

• Representing and promoting the standing of IE HSW and the OCC amongst internal and external partners.

Essential Criteria

The successful candidate should be able to demonstrate these skills and experience:

• Excellent interpersonal skills and evidence of working with multiple stakeholders, both internal and external.

• Working knowledge of Electronic reporting systems and its key management functions including procurement .

• To be fully proficient in the use of current Microsoft software, including, Word, PowerPoint, and Excel, including use of Teams, SharePoint, and OneDrive.

• Experience of supporting strategic boards including research, preparation of papers, taking of minutes and following up on action points.

• Excellent written and inter-personal communication skills.

The sift will be held on the lead behaviour - Managing a Quality Service and the statement of suitability (personal statement). CV will not be scored. 

The statement of suitability (personal statement) will be scored first for all candidates. Those who achieve the minimum pass score for the statement of suitability (personal statement), will progress to a full sift where their behaviour will be scored. These candidates will therefore receive a sift score for both elements.

Candidates who fail to meet the minimum pass score for the statement of suitability (personal statement) will not have their behaviour scored and will therefore only receive a sift score for the statement of suitability.

However, if a large number of applications are received, the sift will be conducted on the statement of suitability (personal statement) only. 

If you are successful at sift stage, you will be invited to an interview which will consist of behaviour-based questions. 

Sift and Interview dates

Sift is expected to take place week commencing 18th March 2024. 

Interviews are expected to take place week commencing 8th April 2024.

Interviews will be carried out via video. Candidates will be required to have access to:

  • Good internet connection
  • Skype for Business/Microsoft Teams

For meaningful checks to be carried out, individuals need to have lived in the UK for a sufficient period of time to enable appropriate checks to be carried out and produce a result which provides the required level of assurance. Flexible Working Arrangement
