The Business Manager will be an integral part of a small Headquarters team that delivers high profile Defence Engagement events, Military Aid to Civil Authorities (MACA), Warship liaison and visits to Royal and foreign Naval vessels on behalf of the Naval Regional Commander Scotland and Northern Ireland.

This position is advertised at 37 hours per week.

Job description

The job holder will be responsible for providing elements of a variety of services shared across the Headquarters including IT security, budget forecasting, procurement, Motor Transport Supervisor and general administration and management of business outputs. Training will be offered where specialist knowledge is needed. 

The successful applicant will be required to undertake various courses to ensure that the HQ is meeting with “compliance” in the roles undertaken by the Business Manager.

TASKS

  • Coordination of RNHQ business outputs and internal processes.
  • Ensure RNHQ is in date and up to date with all compliance matters.
  • Organise as required, Conference Services/Skype/Teams Meetings for RNHQ.
  • Liaise directly with other MOD, Civilian and service authorities at the appropriate level.
  • Undertake all mandatory and appropriate training to fulfil the role.
  • Book all duty flights/rail travel/hire vehicles and accommodation for HQ staff in relation to official business.
  • Hold LV EPC for HQ. (payment card)
  • Carry out Budget Forecasts in conjunction with Chief of Staff.
  • Overseeing MT matters co-ordinating all documentation and allocation of vehicles to audit standard by supervising HQMT trained ranks.
  • Act as HQ’s AD/EU (Authorised Demander /Expert User) and SharePoint administrator.
  • Maintain Budget Control and Transport Tracker spreadsheets for the HQ.
  • Act as focal point for Hospitality Logs/Ceremonial Gifts within the HQ.
  • Assist maintain NRC/RNHQ contact database liaising with external organisations for new/current information as it becomes available.
  • Assist with input into Guest Lists for Ship’s Visits and events e.g., Royal Garden Parties, Royal Edinburgh Military Tattoo.
  • Deputise for Relationship Manager in times of absence.

To succeed in this role, you should enjoy working as part of a team, be confident with IT, have excellent organisational skills and be an effective communicator. In return this role will provide you with the opportunity to expand your knowledge and develop your skills to a higher level. Regular office attendance is required to deliver the outputs of this role.

Our ideal applicant will have outstanding interpersonal skills with the ability to manage their own workload, prioritising and reassessing as tasks are received; a desire to deliver an excellent level of service and business support, with the highest level of accuracy and be prepared to work flexibly to ensure that all personnel receive exceptional service.

Candidates should be able to work well under pressure along with a solid understanding of: MS Outlook, MS Excel, MS Word and SharePoint. Candidates should also have good written and verbal communication, numeracy and digital literacy.
