Job summary

The Project Assistant will provide support and assistance to the team across all of our functions, providing much needed capacity to test, adapt and improve the teams project delivery offer to DCMS. The role holder will see how enabling the delivery of critical government work makes a huge difference to people's lives across the UK. The successful candidate will also be provided with opportunities to develop their own project delivery skills and knowledge through departmental training opportunities.

Job description

It’s a really exciting time to join us, with lots to do! We strive to further develop our four areas of expertise: project assurance, project support (in all project management topics from benefits to governance, risk, planning and more), project delivery profession and project compliance/standards. 

Some of your responsibilities will include:

  • Supporting the set up, coordination and analysis of assurance activities for our major programmes.
  • Supporting projects which develop project delivery capability across DCMS and owning communication plans to our project community.
  • Coordinating and facilitating the delivery of formal L&D training; liaising with internal stakeholders and external suppliers; making bookings, raising purchase orders, inputting into budget meetings etc.
  • Assisting team members on project support activities including document creation and management.
  • Provide continuous support to the improvement of systems and processes.
  • Collating, analysing and presenting a variety of data sources to a variety of stakeholders and supporting with team reporting requirements.
  • Manage a shared project delivery mailbox, responding to and assisting with enquiries from a variety of stakeholders.

Person specification

The ideal candidate would have the following key skills and experience:

Essential Requirements:

  • Aware of Programme and Project Management techniques, with some experience of using these methodologies and delivery skills (in any environment) to achieve results.
  • Has well developed interpersonal and communication skills, with good stakeholder management from working with a range of internal and external people at all levels.
  • Ability to pay attention to detail and improve processes and ways of working, using analytical thinking.
  • Be able to operate with autonomy, whilst working flexibly with colleagues in your own and various external teams
  • Be proficient in Microsoft or Google systems with the ability to collate, analyse and present data effectively. 

Desirable Skills:

  • Possession of, working towards or willingness to obtain a P3M (project, programme or portfolio) qualification e.g. APM PFQ, Prince2, MSP.
  • Some experience or knowledge of working on projects in areas such as (but not limited to): governance and reporting, benefits management, assurance and approvals, portfolio management etc.

A reserve list may be held for a period of 6 months from which further appointments can be made.
