Job description

As a Directorate, we focus on how industry can decarbonise in line with net zero while transforming UK industrial regions by attracting inward investment, future-proofing businesses, and securing the long-term viability of jobs, as well as opening up opportunities to take advantage of future low carbon markets.

This is an exciting opportunity to join the Co-Directors’ Private Office as a Private Secretary and to be part of the wider Business Support Team. As a team, we support SLT and the wider Directorate in achieving our stated goals.

Your role will be to support one of the Co-Directors, providing an efficient and effective Private Office service and working closely with the other Private Secretary and Head of Office to ensure alignment and delivery of objectives.

This is a challenging role which requires an ability to build strong working relationships, organisation skills to manage a range of competing demands and confident decision-making. It is also a rewarding one, offering the opportunity to work closely with Senior Leaders and to play an important role in the success of the Directorate.

Person specification

• Effectively organise and prioritise the Director’s time to support them with delivering their objectives, making judgements on priorities for their time as well as time sensitivities and importance.

• Work effectively with the Private Secretary to the other co-Director to support maximising the effectiveness and impact of the Director team.

• Organise the Director’s travel and accommodation.

• Arrange meetings, ensuring details and purpose are shared in advance and that briefings are provided in a timely manner and fit for purpose.

• Manage the flow of information to the Director to help them make effective decisions and deliver their objectives, reviewing and prioritising their inbox, completing actions and delegating work to their senior staff when appropriate.

• Provide a high-quality customer service to the Director, the leadership team and internal and external stakeholders.

• Working with the Head of Office, help manage Directorate-level responses to commissions are actioned in good time through effective planning and clear communication.

• Support the Head of Office in identifying continuous improvement opportunities for office processes.

• Work collaboratively with other office staff to ensure work is completed in times of high pressure or leave, including covering for the other Co-Director’s Private Secretary and Head of Office.

Skills and Experience 

• Be highly organised, efficient and flexible as well as being adept at balancing competing priorities.

• Be able to confidently communicate complex and time-sensitive information or instructions to a range of stakeholders, including SCS.

• Have extremely strong interpersonal skills, with the ability to build trust and develop working relationships with a wide range of stakeholders.

• Confident in managing upwards and acting on behalf of the Director when engaging with the wider Senior Leadership Team.

• Experience of working in a fast paced and dynamic environment, such as a Private Office.

• The ability to act with discretion and confidentiality when managing people-sensitive information.
