Job description

The DSIT Chief Operating Officer is looking for a motivated and organised HEO Private Secretary to join their private office. You will join a dedicated, positive and very supportive team, and we’re looking forward to welcoming new team members in what is an exciting time for the office. Time spent in a Private Office is a huge development opportunity, as it lets you work with senior civil servants and stakeholders in a completely different way.

You will be expected to provide support to the COO to ensure the smooth running of the private office. You will be an integral team-member, managing the flow of information between the COO and others in the department and across government on a fast-moving portfolio. You will need to need to be able to understand complex and sometimes conflicting information, distil, and present this quickly, to inform decision making. 

Due to the nature of the job, this is a full-time role and we welcome applications from colleagues based in London and all Places for Growth locations.

Person specification

As Private Secretary to the COO you will play an essential role in supporting and advising the COO on a dedicated portfolio of work; ensuring they have the information needed to inform meetings and take decisions, to allow them to make the best use of their time and deliver their priorities.  

You will develop a close relationship with the COO to understand their individual preferences and react quickly to changing circumstances.  

Key components of the role include: 

- Understanding the COO’s priorities, advising on key decisions and communicating steers effectively.
- Delivering quality advise to the COO and feeding back views accurately and promptly to teams.
- Working closely with senior colleagues and external stakeholders in DSIT and across Whitehall, building effective relationships and at times using negotiation and influencing skills.
- Supporting the effective running of the COO Office. 
- Any other tasks as agreed with your line manager.

We are looking for candidates who ideally possess the following skills and experience for the role. - Skilled in the Microsoft office suite packages (specifically Excel, Word, Outlook and PowerPoint).

Selection process details

After submission of the first stage of your application you will be invited to complete a Civil Service Judgement Test and Civil Service Work Strengths Test. If you successfully pass the test, you will be invited to complete the final stage of the application.
