Job description

The role of the PMO Officer covers a diverse range of activities to support the delivery and governance of the Portfolio's objectives. They enable the smooth running of the Portfolio Management Office by supporting the Delivery Teams through the operation of programme management processes, and the co-ordination of governance and assurance activities on their behalf. As a PMO Officer, you will play an integral role in the team, often managing multiple tasks simultaneously and ensuring operations runs smoothly. The role sits within a busy team with a large stakeholder base across multiple internal teams and external suppliers. Working as a PMO Officer brings new tasks and challenges and you need to be adaptable to change to support our continuous improvement ethos.

Person specification

Roles and responsibilities may include but are not limited to:
- Ensure compliance with project reporting processes, including dependencies, risks and issues etc, for PMO and portfolio reporting. Seek opportunities to improve these processes and the quality of data captured.
 - Promote best practice for Digital project governance both within ICS and more widely across government. Ensure that project teams have a clear understanding of our governance processes and comply with these. 
- Manage professional relationships with a wide range of internal and external stakeholders, and act as lead point of contact for some external parties.
- Prepare board papers and reports for various governance boards, and look to iterate the PMO's reporting offerings to add further value to ICS key stakeholders.
- Promote a culture of continuous improvement across the PMO and more widely across Digital directorate and ICS.
- Lead the secretariat function for key board meetings; ensure that meeting actions and decisions have been recorded accurately and shared appropriately.
 - Line management of an EO Project Support Officer, managing performance and supporting personal development.

Skills and experience:

Essential Criteria

- Experience of working in a project/PMO environment.
- Excellent written and verbal communication skills, with a sound understanding of the use of different channels and formats for different audiences.
- Attention to detail, keen organisational skills, and the ability to develop, implement and manage effective administrative processes.
- Pro-active, and able to work in a fast-paced environment and able to manage own time and priorities effectively.
- Strong interpersonal skills, and the ability to build effective relationships with colleagues at every level within an organisation.
- Have a good working knowledge and proficient with full range of M365 apps, including Excel, Word, PowerPoint, SharePoint, Power BI and MS Teams.

Desirable Criteria
- Experience of working in a Digital environment.
 - Line Management experience.
- APM /PRINCE2 project Management qualification
