First Deployment Details:

The successful candidate will be deployed in the Markets Division which leads on policy and regulatory issues covering retail energy suppliers and consumers. You may be deployed to support the Central PMO function or assigned to a portfolio or range of projects within the Markets PMO.

Team Purpose and Role 

The successful candidate will be a critical part of the team, reporting to the Head of PMO: 

  • The purpose of the PMO Analyst is to support delivery of objectives, including co-ordination, planning, control, reporting and analysis. 
  • Focussing primarily on providing insight, information and support that strengthens project governance and enables prioritisation, decisions and effective allocation of resources. 
  • The post holder will provide PMO administration and support Project Managers in the delivery of their project through the Project Management Framework. 

This role supports the PMO by:    

  • Facilitating communication across the PMO by collecting data and insights to inform the management reporting and advise the Senior Leadership. 
  • Document Management - managing and controlling documents, such as form templates, meeting minutes, reports, plans and schedules.  
  • Communication - distributing information to project team members and stakeholders. 
  • Analysis – interrogating the data of performance and delivery across the project to reveal insightful trends & issues.

Key Responsibilities  

Assurance 

  • Support the definition, implementation, and on-going management of the agreed project management approach/plan for projects. 
  • Ensure projects are using the agreed project management framework, using the standard project tools and templates.

Governance and Reporting  

  • Coordinate reporting from projects and provide analysis of performance to inform management decisions.
  • Provide administration to project team by co-ordinating project activities and events, such as capturing minutes, actions & decisions. 

    Planning, Scheduling and Resourcing 

    • Ensure mechanisms and reporting tools are in place to enable effective planning and scheduling, ensuring the project has clear milestones and project plan to support effective delivery.
    • Recognise and track dependencies. 
    • Maintain the quality of information in resource management tools.

    Risk and Opportunity Management  

    • Support the identification and monitoring of project risks and issues and escalate as appropriate.

    Finance  

    • Assist with the monitoring of project spend. 
    • Maintain accurate asset registers for projects. 

    Stakeholder Management  

    • Manage professional relationships and engage with a wide range of stakeholders both internal and external. 

    Key Outputs and Deliverables  

    • Keep track of project expenditure. 
    • Assist with planning, maintain plan. 
    • Maintain RAID log for project. 
    • Create and maintain library of project documentation. 
    • Offer suggestions to improve processes, tooling to deliver better outcomes and efficiencies.  

      Person specification

      Essential Criteria

      • Ability to plan, prioritise and control workload to deliver results to agreed timescales (Lead Criteria). 
      • Excellent oral and written communications. 
      • Excellent knowledge of Microsoft Office, including Excel, Word and Outlook. 
      • Excellent interpersonal and communication skills. 
      • Must be able to deal with a range of ongoing tasks at the same time and be able to cope under pressure.  

      Desirable Criteria

      • Experience of using Microsoft Project or similar tools. 
      • Experience of project delivery using recognised project management methodology. 
      • Experience implementing project management tools and templates. 
      • PRINCE2, APM, Agile or equivalent project management qualification.
