Job description

We are seeking an enthusiastic, high performing individual to take on the role of Personal Assistant to two Deputy Directors working within Rail Reform Directorate. We are looking for someone, who is able to work in a fast-paced environment and can confidently communicate at all levels with internal and external stakeholders, both verbally and in writing.

The postholder must be exceptionally organised, able to demonstrate good judgement and time management to prioritise urgent requests and monitor progress on key tasks. A flexible approach to work is required to accommodate an often-demanding environment with the ability to work quickly while remaining calm under pressure.

Responsibilities include but are not limited to:

  • Effectively managing the diaries of two deputy directors.
  • Providing administrative and logistical support to the wider divisions.
  • Building strong relationships with both Deputy Directors, with colleagues in the wider Directorate.
  • Treating sensitive and personal information with discretion and ensuring it is carefully managed.

Person specification

About you:

We are looking for a highly motivated and adaptable individual who can embrace a fast-paced and complex role, with a can-do attitude, able to remain calm under pressure, showing resilience and tenacity to manage changing priorities, recognising key areas of work that will need urgent attention.

You should have excellent communication skills, both verbally and in writing as well as outstanding organisation skills and ability to work effectively with colleagues at all levels.

You will take a proactive approach to delivering results and ability to use own initiative with a great attention to detail, be adaptable and flexible delivering a range of administrative duties for Senior Managers and providing support for the rest of the team.

Additional Information:

A minimum of 60% of your working time should be spent at your principal workplace, although requirements to attend other locations for official business, or carry out detached duty in another DfT workplace, will also count towards this level of attendance. 

Occasional travel to other DfT offices may be required.

This post is offered on a Fixed Term Appointment (FTA) basis to complete a finite piece of work.

For permanent Civil Servants, this role is available on either a loan (preferred) or fixed term appointment. If you are applying for a loan, you must have your home departments approval to return to them at the end of the loan before you apply. OGD applicants will be appointed on an inward loan and subject to the terms of the agreed inward loan. Internal candidates will return to their previous post at the end of the loan period, which will need to be agreed with your line manager in advance.  If your home department cannot agree to release you on loan, there is the opportunity for you to move across to the department on a fixed term appointment. In this instance the Department for Transport would become your home department and if there is no role available for you at the end of this appointment, you would be subject to the redeployment and redundancy process.

If you're employed by a non-departmental public body (NDPB) by moving jobs this will involve a change of employer and you may break the statutory rules on continuity of employment.
