Job summary

This role is part of Communications and Ministerial Support Directorate.

The role will support the Directorate and Division People and Business function with a focus on the provision of diary and mailbox Personal Assistant support to the Director and /or /Deputy Directors.

You will be committed to continuous improvement to ensure a high-quality service is provided. You will liaise with colleagues across ,Divisions and wider Directorate, so experience of dealing with a range of is stakeholders is essential. You will have high standards of customer service, digital skills, an eye for detail, the ability to organise tasks and adapt to changing priorities, ensuring deadlines are met.

You will work closely with Business Management colleagues.

As this is a Modern Apprenticeship, throughout the first 12 months the successful candidate will be expected to gain a relevant SVQ qualification in Business Administration. Support will be provided by a qualified assessor who will work with the successful candidate on a monthly basis. Time will be given to work on your qualification, this includes delivering 2 presentations.

Job description

• Work closely with, and provide direct support to, the Director and Deputy Directors – being proactive with forward planning of the time.

• Manage and prioritise diaries – co-ordinating meetings, making appropriate attendance arrangements, as confirmed by the Director/Deputy Directors.

• Collate routine support briefings, ensuring meeting papers are correct and accurately collated, issued and filed.

• Maintain and manage information within OneNote, to ensure that all actions are appropriately progressed, and that the Director/Deputy Directors have easy access to relevant resources.

• Dissemination of corporate guidance to Director/Deputy Directors and senior staff across the Directorate.

• Working with the PA and Business Support Manager to provide support on people focused activities such as learning and development, recruitment, induction and other support as required.

• Support high priority communications daily tasks ensuring that they are completed within deadlines and to a high standard.

• Co-ordinate meeting logistics as required, booking conference or meetings rooms as appropriate and arrange the use of video conferencing or Teams for Business meetings.

• Provide support as required to colleagues across all areas of financial activity.

Qualifications

No specific qualifications required for this post but within the first 12 months the successful candidate will be expected to gain a relevant SVQ qualification in Business Administration.

Essential Criteria

1. Excellent planning, administration and organisational skills, with a flexible approach to managing tasks in order to meet changing and conflicting demands.

2. Excellent communication and interpersonal skills ability to build strong working relationships with internal and external stakeholders.

3. Ability to work as part of a team, maintaining good working relationships and contributing to the team’s overall performance.

4. Proven attention to detail and a concern for accuracy, along with proficiency and confidence in using basic IT packages.
