About the Parole Board:
The Parole Board is an independent court-like body that is responsible for carrying out risk assessments on prisoners to determine whether they can be safely released into the community. We do that with great care and public protection is our top priority.
All Parole Board decisions are solely focused on whether a prisoner would represent a significant risk to the public after release. Not all decisions Members make are popular, but they make these decisions fairly and objectively.
The Board is made up of about 200 members of secretariat staff based in our London Head Office and approximately 320 Members who make decisions on risk and hold hearings at prisons around the country.
The Parole Board is an executive non-departmental public body, sponsored by the Ministry of Justice. Staff who work for the Parole Board Secretariat are Public Servants and not Civil Servants.
We are looking for a well organised and an effective communicator to join the Member People team as a Member Engagement Officer. You will be able to engage confidently with members, remaining calm under pressure and be able to find solutions as changes occur or challenges arise. This is an exciting role to support the development and wellbeing of the membership.

Job Purpose
You will play an integral part of the People Team, providing support to the Member Engagement Manager to deliver member support,
training and events.
You will work with the Member Engagement Manager and another Member Engagement Officer to organise and facilitate member training, wellbeing support and tenure management.
This is a fixed-term role for 9-12 months.
Scope of Responsibilities:

Primary Deliverables in first 3 months of role:
• Support new member fast track training
• Support facilitators in devising New Member Induction
• Support event management
• Engage with members on their tenure and wellbeing
Person Specification

Main Duties:
Events and Training
• Support in the delivery of multiple in person events, including logistics, stakeholder and client management and drafting communications.
• Support in the creation and delivery of training events.
• Support in the progression of member development include accreditation.
Recruitment and reappointments
• Provide administrative support to the Member Engagement Manager and Head of People, Learning and Development throughout member recruitment campaigns.
• Working with the Member Engagement Manager and Public Appointments Team to support the reappointment of members and former active members.
• Support internal recruitment by managing EOI timetables, applications and appointments.
Policies and engagement
• Support the Member Engagement Manager with maintaining policies and procedures relating to members.
• Be familiar with the location and content of policies and procedures to assist in directing members to them.
• Undertake wellbeing or check in calls with members
• Support member sabbaticals or leaves of absence
Data and reporting
• Maintain and update data required for reporting as directed by the HEO, SEO or Grade 7 in the People team.
• Provide reports from data where requested
• Use IT systems to run data reports and update spreadsheets.
• Monitor and update Mars to ensure data is accurate and attend quarterly meetings.
• Digitalising historical documents, ensuring they are filed and saved accordingly.
Day to day
• Attend national and regional meeting and events which may require occasional travel and overnight stays.
• Efficiently manage priority inboxes within the People function, ensuring emails are processed within the arranged service agreement.
• Offer support to members on their stationary expenses claims and track claims.
Leadership
• Liaise with the Staff People and Development Officer in relation to any matters arising from the Health and Safety Committee or EDAG.
• Attend regular stakeholder meetings and cascade relevant communication before and after.
• Any other task as directed by the Member Engagement Manager, Senior People Manager for Members or HoPLD.
• Identify any people themes and offer views on remedies for these to the People Manager.
Selection process details

Office requirements
This role is hybrid. You will be required to spend 20% of your time in person contact. This is either at the PB office, an MoJ hub office, with PB colleagues, members or MoJ colleagues or in training.
If you are a national candidate, please be aware that if successful you may be expected to attend the Canary Wharf office at least quarterly for team meetings or planned events. Travel for these purposes will be reimbursed for national employees.
This role will require some travel outside of these requirements.
