Job summary

This role is based in the Operational unit of the Digital Knowledge & Information Management (DKIM) Team in the CO Digital Department. DKIM has established a reputation for excellence within the Cabinet Office and we will continue to build upon our performance and continue engaging with our key stakeholders to develop strong relationships with colleagues within CO and with the KIM community across Government.

We are key stakeholders in Machinery of Government Transfers (MOGs) for which the DKIM team is responsible for ensuring the legal transfer of data and information to and from the Cabinet Office.  You will be responsible for managing the MOG process on behalf of DKIM.

The DKIM team facilitates the delivery of the Cabinet Office’s priorities and purpose through providing business critical information management services and responsibility for:

  • Machinery of Government (MOGs)
  • Data transfers
  • Information Management Policy and Standards and Policy and compliance assurance monitoring and reporting

The DKIM Operational Team is also responsible for the implementation of the Cabinet Office Information Management Framework. A key function is the regular review and updating of IM policy, guidance and standards.

Job description

The immediate role of the postholder will be to work with the DKIM G7 Head of Unit to deliver business critical Machinery of Government (MOG) transfers. You will also review IM Policy, including the CO Information Management Standards Framework and maintain and develop the excellent service we provide to our stakeholders

The post holder will:

  • Lead on Machinery of Government (MOG) transfers.
  • Support the Head of Unit and Head of DKIM on annual policy reviews and updates.
  • Provide operational support to CO Directorates and BU’s
  • Provide ad hoc support to the G6 and G7

Responsibilities

  • The immediate role of the post holder will be to work with the DKIM G7 Head of Unit to deliver business critical Machinery of Government (MOG) transfers.
  • Machinery of Government (MOG) transfers: to include leading on the data discovery process, designing folder structure, attending meetings, drafting progress reports and liaising with key stakeholders in the process, including other Government Departments
  • Transferring data/information transfers between departments, business units and other Government departments.
  • Working with the G7 Head to review IM Policy, including the CO IM Standards Framework and maintain and develop the excellent service we provide to our stakeholders.
  • Support the Head of Unit and Head of DKIM on annual policy reviews and updates, updating and drafting staff guidance, leading the development of communications programmes across the department and working with training specialists on our staff training offer.

        Person specification

        • Ideally candidates should have a good working knowledge of data transfer / migration processes within a KIM environment. In addition, you will demonstrate a good working knowledge of information management processes and be expected to work towards obtaining an appropriate qualification from recognised professional bodies.
        • Identify current and upcoming risks and issues - articulate these and identify routes for resolution / mitigation
        • You will need previous experience in a knowledge and information management role. Experience of data/information transfers between organisations would be a distinct advantage.
        • Prioritisation of data transfer requests, negotiating with parties as required
        • You will be expected to attend project meetings, engage and communicate with stakeholders, as required
        • You will manage your workload to meet priorities and milestones.
        • You will give advice and make recommendations to key stakeholders to help with their decisions

        Additional information:

        A minimum 60% of your working time should be spent at your principal workplace. Although requirements to attend other locations for official business will also count towards this level of attendance.
