About the job

Job summary

You will be responsible for delivering an efficient system support service and ensuring data integrity and reporting across People Services.

You will support the development and management of systems, ensuring they are used to their maximum potential and data is accurate to support business needs.

You will support the team by ensuring we have clear documentation detailing how systems should be utilised (SOP’s), identify and utilise system exception reporting to ensure data input is complete and data is validated and accurate and support with data retention/deletion policies.

  • The support, development, and maintenance of People Services’ systems
  • Acting as a Super User of the systems, supporting the work of the teams & the wider business through the collation, manipulation and interpretation of data when required, and ensuring robust data is held and maintained in both systems.
  • Resolving relevant systems related queries internally, building and maintaining a strong relationship with suppliers
  • Identifying opportunities to maximise the use of People Services systems, including supporting (and leading as required) future phases of systems work to upgrade or implement additional software or modules.

Job description

Data Integrity

  • Conduct regular reviews of People data to ensure this is correct and up to date including conducting Data Protection checks and data housekeeping activities.
  • Keep data, codes, hierarchies, workflows and reports up to date.
  • Drive data accuracy and consistency to ensure managers can make clear data lead decisions.
  • Use data validation and management tools to ensure the data within our systems is robust.
  • Ensure there are clear guidelines (SOPs) for utilising our core systems.
  • Work with the Senior People Operations Manager to ensure adequate training in place for team members to understand how to best use our systems.

System Maintenance & Third-Party Providers

  • Review new releases/updates for our systems, identifying and resolving any impact it will have to users (e.g. training, updating manuals, updating dashboards/reports)
  • Management and allocation of licences and agreeing permissions for systems used.
  • Becoming a Super User of our core systems
  • Manage all areas of systems support for People Services’ systems, including maintenance of systems data, creation of new codes, hierarchies, and workflows, developing and testing reports and ensure reconciliations are conducted as needed.
  • Work with system suppliers on fixes and changes to the systems
  • This role will be the main contact between the Commission and external system providers ensuring clear understanding of new system updates and the impact of these to our users. The post holder will also work with suppliers to answer any more complex user queries.
  • Identify future developments and optimise the usage of systems to support self-service, making the most efficient use of systems, minimising manual work.
  • Support the People Operations team to transform current HR and payroll processes to be efficient, consistent, and streamlined.
  • The role holder will champion ideas for better integrations using more technical opportunities such as API’s and apps. They will often be part of critical project teams helping with requirement capture and solution design.
  • Contribute to projects designed to develop and enhance HR and related systems.
  • Work with L&D colleagues, to develop and maintain appropriate training mechanisms for users, including written guides, on-line and face to face training.
  • Collaborate with key stakeholders to ensure systems and reporting are meaningful and continually supports the business.
  • Support users to maximise system capabilities to release the most benefit from the systems we have.

Management Information & Reporting

  • Provide accurate, timely and user-friendly reports to People Services, people managers, external regulatory bodies, and other system users in line with agreed requirements.
  • Research and contribute innovative ideas for management information.
  • Support with benefits reviews, including annual salary and bonus reviews, by providing relevant, accurate and timely data.
  • Responsible for developing MI reports to support business needs along with additional projects and initiatives.
  • Responsible for all reporting requirements that support the delivery of our Diversity & Inclusion Strategy and our Great Place to Work Surveys.
  • Provide various ad-hoc reports as and when requested.
  • Provide monthly and quarterly management reporting via scorecards and maintenance of the data hub.

Person specification

Essential:

  • A genuine passion for systems and data
  • Experience of working with HR systems and data
  • Ability to analyse and interpret complex data sets.
  • Ability to interpret and present data to a wide range of audiences.
  • Ability to develop and maintain strong internal and external relationships.
  • Effective communication skills, both orally and written
  • Proven knowledge of Microsoft Office products (Microsoft Excel, Word, PowerPoint, etc.)
  • Attention to detail, commitment to quality work and well organised.
  • Strong analytical and critical thinking skills

 Desirable:

  •  Experience of working in partnership with third party suppliers to ensure effective service delivery.
  • Ability to produce high quality and effective documentation/reports on complex issues.
  • Willingness to learn new systems, concepts and methods as industry & initiatives dictate.
