Job summary

At Ofgem, our HR Advisors are part of the People Centre team who work on a Shared Services basis to provide operational HR support across the organisation. It is fast paced, administrative and process orientated and works closely with the wider Corporate Services to ensure that all Ofgem employees received the highest quality service, whether they are joiners, movers or leavers.  

The role is challenging and requires an exceptional level of organisation, excellent customer service skills and strong communication skills. The volumes are high and there are lots of different processes for you to manage, so attention to detail and ability to produce accurate outputs under pressure will be key. The team are the first point of call for all HR queries, so you’ll need to be able to think on your feet and be able to manage multiple priorities so that we meet our SLAs.

Job description

Key Responsibilities 

  • Provide efficient and effective HR support to our employees across the UK.  
  • Act as the first point of contact for all administrative elements of the employee lifecycle, resolving queries from new joiners, employees, managers and external organisations within set SLA’s and KPI’s. 
  • Provide guidance and support to managers and employees on HR policies and procedures. 
  • Using our cloud-based email system allocate emails/tickets to relevant HR Admin Officer. 
  • Manage new joiner process using the using our digital onboarding system (iTrent). 
  • Update and maintain employee records ensuring an accurate HR system. 
  • Processing of leavers and contractual changes such as flexible working requests, family leave and promotions in advance of the monthly payroll and ensuring compliance with statutory obligations. 
  • Provide key MI to People and Estates team as well as adhoc requests using People Centre Power BI dashboard. 
  • Be focused on continuous improvement ensuring that internal Standard Operating Procedures are in place. 
  • Providing excellent customer service to all internal and external customers. 
  • Assist People Centre Manager with annual and adhoc audits. 
  • Stay updated on the latest statutory changes and best practice. 

Key Outputs and Deliverables 

  • Manage the new starter administration process for external new joiners and those from other government departments through digital onboarding, including preparation of offer letters and contracts of employment, liaising with new joiners, taking up references and security checks. 
  • Process Loan and Secondment agreements both in and out of Ofgem. 
  • Manage the leaver process, including all administration surrounding employees leaving the organisation.  
  • Ensure that all contractual changes are implemented promptly, with appropriate paperwork completed.  
  • Process special leave such as career breaks, unpaid leave and jury duty.
  • Process written requests for information from external organisations, such as references, mortgage application etc.  
  • Ensure all employee files and HR databases are accurate and up to date.  
  • Identify process improvements and take steps to rectify when necessary. 
  • Ensure correct Right to Work Documentation is obtained for existing staff, updating the HR system and storing such documents in employees’ personnel files. 
  • Administration of staff benefits such as cycle to work, rental deposit scheme, season ticket loan and Perkbox. 
  • Collaborating with other teams to complete Freedom of Information requests and Subject Access Requests within strict deadlines. 
  • Role model exceptional service, ensuring that customers are at the heart of the people centre outputs. 
  • Appropriate escalation of and timely response to more complex matters. 
  • Provide administrative support to adhoc HR projects as and when required. 
  • Train new joiners to the team on all aspects of the People Centre. 

    Person specification

    Essential Criteria

    • Experience of HR Admin/Adviser role with extensive experience of processes covering the lift cycle of an employee in a fast paced environment (Lead)
    • Experience of maintaining integrated HR Payroll systems (Lead)
    • Strong organisational skills with the ability to manage your own time whilst working on multiple tasks within deadlines and SLA’s
    • Able to demonstrate high level’s of accuracy and attention to detail
    • Proven IT literacy skills (Microsoft Outlook, Word and Excel)
    • Strong communication and interpersonal skills with the ability to build good working relationships with managers and employees at all levels

    Desirable Criteria

    • Previous experience of using iTrent HR system
    • HR qualification.
