Job summary

The Integrated Corporate Services (ICS) is a new shared corporate service, launched in July 2023. It will provide corporate services (HR, Finance, Digital, Commercial, Security and Estates) across the Department for Energy Security & Net Zero (DESNZ) and the Department for Science, Innovation & Technology (DSIT).

Job description

Would you like to come and join a committed and friendly service management team?

The Service Management Team sits within Technology and Architecture, part of ICS Digital. The Service Management Team is at the sharp end of delivering performance, reliable, and responsive end user compute services to over 15,000 users. Our customers are; Department for Energy Security and Net Zero; Department for Science, Innovation and Technology; Department for Business and Trade; and; some of their Arm’s Length Bodies. Our customers are geographically spread across the United Kingdom.  This role is based in London where most of our customers are based and from where our hardware assets are centrally managed and dispatched.

The Service Management team delivers responsive incident, problem, change, asset, request, knowledge, and communication services, collaborating with a seamless mix of in-house and outsourced 1st, 2nd and 3rd line application and technology support specialists.

Initially you will be the lead Hardware Asset Manager within the IT Service Management team consisting of 6 people. As a team we collaborate, support, and provide cover for each other, so there is lots of opportunity to increase experience across Service Management disciplines to further your career.

As the Hardware Asset Manager, you will ensure that our Laptop and Mobile devices are effectively managed through the complete Asset Management Lifecycle. Your goal will be to ensure that we get the most value from our hardware assets by managing our asset handling processes and ensuring that our records of 30,000+ Hardware Assets – with a total value of more than £35m – are managed to a consistently high standard.

Person specification

1. Importing asset information into the IT Service Management database and monitoring interfaces with device management platforms to ensure they are working correctly and updating asset information accurately.

2. Owning the Asset Management handling processes and supervising the asset handling work of; Build Room; JML (Joiners, Movers and Leavers); Tech Bar; Service Desk; and; Technical Support teams. This will involve proactive monitoring using the IT Service Management toolset, overseeing the work of teams, monitoring progress, providing feedback, coaching, running training sessions and applying appropriate interventions to ensure that hardware asset information is accurate.

3. Be the lead subject matter expert on; how asset handling processes and technology work together; hardware asset handling standards including ITIL and BSI 55002; responding to asset related enquiries from individuals and senior customer stakeholders; and the impact that projects and initiatives will have on current processes and policy.

4. Manage the IT Asset Management mailbox by being aware of, interpreting and applying the Asset Management and related HR policies when responding to customers individually and at a corporate level. This will also involve ensuring that customer facing information is accurate and maintained in line with current asset handling processes, policy and related policies.

5. Provide standard and non-standard timely and accurate hardware asset related reports to senior stakeholders using the IT Service Management toolset and a range of Excel skills (LOOKUPS, Data Models and Pivot Tables) to provide meaning, interpretation, and extrapolation of data to support; recommendations and decision making, asset related projects, Freedom Of Information requests, senior customer and stakeholder enquiries and audits and operational monitoring.

6. Lead on formal asset-related audits, and chasing Leavers to return hardware assets before making recommendations to charge Directorates for their non-return. This will involve capturing and presenting data, investigating and responding to identified anomalies and communicating and presenting information accurately.

Skills and experience

Essential

  • Excellent written and verbal communication and stakeholder management skills.
  • Demonstrable experience of working within a service management function and a good understanding of broader IT service management functions and ITIL processes / practises.
  • Experience of monitoring workloads, detecting issues, and leading interventions to keep work on track and to standards.
  • Demonstrated ability working with and combining large datasets using Excel data analysis functions like Pivot tables, VLOOKUP to develop relevant reports, interpret data, make decisions, and convey important insight and recommendations to improve service delivery.
  • Good problem-solving skills including gathering and validating evidence, evaluating options and making sound evidence-based decisions and recommendations.
  • Well organised and able to quickly evaluate, prioritise and respond to operational issues and service improvement initiatives.

Desirable:

  • Previous experience of working with ServiceNow to develop reports, interpret data and monitor workloads.
  • Proven ability working with ServiceNow to develop relevant reports, interpret data, make decisions, and convey substantial insight and recommendations to improve service delivery.
