You’ll be involved in high profile work which is central to the smooth running of Ofgem  – supporting our Boards and Committees to operate in a highly professional and effective manner.  Outside of formal meetings you will act as a key point of contact for colleagues on governance and secretariat issues, ensuring a timely and high-quality response to all queries and requests as well as using your experience and initiative to improve process and delivery at all times.

 

You’ll be in a position to innovate and inspire. We need a manager who understands good governance, has exceptional attention to detail but also the creative flair to drive forwards change and improvements in a fast-paced, deadline driven environment. Excellent stakeholder management and relationship building is crucial in this role.

Job description

Purpose

 

This is an exciting and challenging role that sits at the heart of Ofgem. The Governance & Secretariat Team (GST) is part of General Counsel and we are responsible for supporting Ofgem Boards and Committees.

Working closely with Ofgem’s Board members and Senior Leadership Team, you’ll have exposure to the workings of a regulatory body which has a crucial role in making sure that energy markets work in the interest of consumers, both now and in the future.

As Governance & Secretariat Manager, you will hold a critical role in a high profile team, delivering a complex fast paced secretariat function with a wide range of duties.

 

Key Responsibilities

 

  • A high profile role responsible for carrying out the day-to-day duties of a complex fast paced Secretariat function, providing support to Ofgem’s Board, its Committees and Executive Leadership.
  • With support of a junior member of the team you will be responsible for managing the logistics for multiple board meetings, ensuring all arrangements in relation to papers and people are completed accurately, within legal and governance requirements to deadline.
  • Responsible for capturing and drafting minutes/actions/decisions of multiple boards, providing an accurate summarised reflection of the meeting, learning a broad range of subject areas to be able to understand the conversations at a high level and keep within context.
  • Accountable for ensuring the high volume fast paced Secretariat inbox is effectively organised and emails are actioned by appropriate members of the team.
  • Accountable for ensuring our Non Executive Directors are supported in their roles.

 

Whilst we will try to be supportive of flexible working arrangements, this role is very busy supporting multiple Board Meetings, so the business requirements mean that the candidate may need to flex their working patterns at times to align with, and support, board meeting times and deadlines.

 

This role will include some travel to London, Scotland or other areas as needed to support the Board.

  • Smooth running of board meetings, with all tasks carried out accurately to deadlines.
  • Improved accuracy and quality of minutes of meetings produced rapidly.
  • Proactive use of internal processes and checklists, offering up proposals for further streamlining.
  • Non Executive Directors feel fully supported.
  • A governance and secretariat function, that is seen as providing a high quality professional service by the rest of the organisation.

Person specification

Essential Criteria: 

  • A highly organised, proactive person with excellent attention to detail capable of working in a fast paced, deadline driven environment. (LEAD)

 

  • Able to keep track of multiple tasks regardless of who is carrying them out and ensure all requirements are completed to deadline.

 

  • Experience of liaising with and on occasion, challenging people at a Senior Level to ensure that key actions and deliverables are met.

 

  • Someone who actively challenges and considers each item/process with a critical eye and proactively comes up with proposals for how to do things more efficiently.



Desirable Criteria: 


  • Experience of working with/for Boards and Committees would be beneficial.
