Job description

We are looking for an individual to join the Finance Transactions Team to assist with the day-to-day management of the Finance Transaction Teams operations.

The Finance Transactions Team assists all areas of the Home Office with the P2P Processes from Quality Assurance of Requisitions, Third Party and Non-Third-Party supplier set ups, Urgent Payment Requests & General Enquires around these processes. Operating a Contact Centre within the team to respond to general queries by phone and email.

As a team we are ensuring the Home Office are compliant with Purchasing Policies for the supply of Goods & Services.

The purpose of the role is to ensure that you are working to support the long-term strategy of the purchase requisitioning workstream:

The role requires the post holder to lead teams of staff who carry out activities to meet service level agreements, whilst ensuring that corporate targets are delivered.

The post holder will play a key role in developing a deserved reputation for excellent customer service.

The aim is to facilitate self-service functionality through Home Office systems, whilst providing policy and guidance to support key financial transaction areas within P2P.

Important information

Travel in the UK, with occasional overnight stays, may be necessary.

Where business needs allow, some roles may be suitable for a combination of office and home-based working. This is a non-contractual arrangement where all employees will be expected to spend a minimum of 60% of their working time in an office, subject to local estates capacity, by Spring 2024. Due to the nature of the role, this post is available on a full-time basis only.

Person specification

The post holder will be responsible for the following key tasks – each role will include some but not all of the following, dependent upon the balance of work and business requirements:

  • Lead all aspects of requisitioners’ output and quality.
  • Manage supplier maintenance requests.
  • Supervise issues / queries raised by business areas, taking appropriate corrective measures and provide education to business areas to improve transactability.
  • PO housekeeping.
  • Resolve supplier aged debt.
  • Maintain the financial approval hierarchies within the finance system.
  • Manage cash advance requests.
  • Maintain and review guidance.
  • Undertake assurance checks.
  • Manage Metis improvement requests.

The post holder may be required to undertake additional responsibilities as expected in relation to the role and grade.

Essential criteria 

  • Understanding of Finance Transactions and the impact of these on the business.
  • Excellent Customer Service dealing with various Home Office colleagues as a line of support.
  • Ability to manage workload and workload of direct reports ensuring service level agreements are met.
  • Solid understanding of MS Office suite and a minimum of intermediate Microsoft Excel skills.
  • Good understanding of how Finance Systems operate.
  • Ability to create reports to supervise performance.
  • Good verbal and written communication skills.

Desirable criteria 

  • Experience with financial and / or finance transactional systems to record, report and monitor financial transactions.
  • Experience of leading a team or individuals.
  • Good knowledge of public sector finance processes and procedures.
  • Experience of using Oracle Business Intelligence.
  • Experience of documenting processes

Selection process details

This vacancy is using Success Profiles (opens in a new window), and will assess your Behaviours, Ability and Experience.

If you are successful at sift stage, you will be invited to an interview which will consist of behaviour-based questions. 

Sift and Interview Dates

Sift is expected to take place week commencing 8th April 2024.

Interviews are expected to take place week commencing 29th of April 2024.

For meaningful checks to be carried out, individuals need to have lived in the UK for a sufficient period of time to enable appropriate checks to be carried out and produce a result which provides the required level of assurance.
