Job description

The Secretary of State's Office are looking for a Diary Manager to join our team. The successful candidate will have the rare opportunity to be part of the private office team supporting the Secretary of State. Our team is dedicated, positive and very supportive, and we’re looking forward to welcoming new team members in what is an exciting time for the office. Time spent in Private Office is a huge development opportunity, as it lets you work with ministers, senior civil servants, and stakeholders in a completely different way.

You will be expected to play a key role in building a strong, high-performing, and supportive culture within the wider private office directorate. You will also provide support to ensure the smooth running of the Secretary of State’s private office. You will be an integral member of the team to ensure that all key office processes work effectively and efficiently.

This is a full time role and we will need you to be in the office in London around 4 days a week during term time, although there is more flexibility in recess. It sometimes involves longer hours than is typical in policy roles, which is covered by the 18% allowance.

Person specification

As a Diary Manager you would be responsible for managing the Secretary of State's diary and being the face of the Private Office to external stakeholders. You will develop a close relationship with the Secretary of State to understand her individual preferences and react quickly to changing circumstances. Your role is crucial to ensuring the Secretary of State’s priorities are delivered and that there is an appropriate balance between their Departmental and parliamentary commitments.

Key components of the role include:

  • Managing the Secretary of State’s complex diary, ensuring their time is balanced and reflects their priorities
  • Working closely with Private Secretaries in the team, other ministers’ offices, the parliamentary and political teams, and senior civil servants to ensure effective use of the Secretary of State’s time
  • Working with colleagues in the visits team to arrange domestic and international visits
  • Holding a clear sense of the bigger picture and strategic direction of DESNZ, based on the breadth of policy portfolio and your access to the Secretary of State, Special Advisers, senior officials and stakeholders and maintaining positive relationships with teams throughout the Department, across Government and externally
  • Support the effective running of the Private Office
  • Working with other ministerial Diary Managers to improve processes and improve delivery
  • Liaising with the Ministerial Support Unit to collate information for Cabinet Office transparency returns
  • Assist Private Secretaries with Ministerial correspondence


The successful candidate will be a motivated person who is eager to learn and looking for exposure to a policy making environment at the highest level. You will have excellent interpersonal, written and oral communication skills. You are able to function effectively as part of a team and build strong relationships with colleagues across the Department, often at senior levels. You are comfortable working in a fast-paced and ever-changing environment and you are capable of effectively prioritising your work, delivering consistently under time pressure. You can display resilience and flexibility in order to respond to changing circumstances and priorities.

You will be offered support to develop in the role, including training, coaching and mentoring options. Skills and experience

For the role the post-holder will need:

  • Positive and proactive attitude when faced with new situations.      
  • Strong organisational skills, with the ability to deal with competing demands and priorities.
  • A clear sense of ownership and an ability to identify and fix problems independently, within a supportive environment.
  • A clear written and oral communication style.
  • Highly organised and attention to detail.  
  • The ability to work effectively as part of a team.  
  • A willingness to undertake additional tasks in the wider team.
  • A willingness to undergo SC clearance (which can be obtained by the successful candidate after accepting the position).
