One of DCTT’s School’s, The Defence School of Electronic and Mechanical Engineering (DSEME), plays a key role in delivering world-class technical training to soldiers and aviators across a variety of engineering disciplines. Currently based at MOD St Athan, DSEME’s sub-school, No 4 School of Technical Training (4SoTT) will be relocating to MOD Lyneham over the coming months, which presents an exciting opportunity to join the Royal Air Force 4SoTT.

This position is advertised at 37 hours per week.

Job description

As the DCTT 4SOTT Training Administrator you will be responsible for.

Administration 

Inputting all work submitted for word processing in accordance with Defence Writing conventions in accordance with the Defence Writing Handbook for Trade Management Training and Course Design. 

Keeping accurate and consistent records of communications and update records as required including the shredding and disposal of classified and unclassified material as necessary. 

Maintain records of work and output statistics. 

The production of meeting minutes and records of decisions as required 

Co-ordinate all incoming and outgoing mail.  

Maintain sufficient stocks of all stationery and consumables by submitting timely and adequate orders. 

Control the photocopiers and other office equipment 

Booking in/out all visitors to the department and advising them of all health and safety aspects, then escorting the visitors to their destination. 

Manage and control all bookings for the department’s conference/classrooms. 

Liaise with Course Design for any changes to the School’s Courses so that all Course Certificates are current and up to date. 

Assist other flights within the Squadron with Admin tasks, utilising spare capacity, as required. 

Training Records.  

The compilation and maintenance of all training records and statistics for Phase 3 students  

Maintaining up to date information on course planning charts and nominal roles.  

Liaise with Plans and Records to investigate and solve issues arising out of ambiguities with course loading.

Production of Course student and Instructor files. 

Ensuring Joining Instructions are up-to-date and relevant. 

Collating Student information personnel and training systems. 

Keeping Instructors up-to-date on course/student changes. 

Setting up Classrooms prior to course commencement. 

Ordering all Student Handouts for each course within relevant timescale. 

Checking and informing Instructors and Plans and Records of Student Learning Difficulties and/or Health issues. 

Issuing relevant arrival paperwork and end of course paperwork

Collating all information from student’s, and process through the relevant channels. 

Produce course certificates for each successful student within the squadron in a limited timescale. 

Ensure all records are filed and maintained in the correct manner.
