Job description

This role supports the Directorate Senior Management Team and task manager by ensuring that we comply with Agency protocols around budget management, financial delegation, risk, and the ePCS (electronic Card Payment Solution).

You will join a friendly, dynamic team providing administrative support to the team, enabling the Commercial Directorate to achieve their objectives.

Your role will be interesting and varied. You will use Microsoft Excel, Outlook, and SAP on a regular basis for tasks such as report analysis, meeting organisation and budgeting.

You will play a pivotal role in ensuring a high level of quality assurance by using your analytical skills to identify anomalies and discrepancies in data, and will be entrusted to make judgement calls if you recognise that information you are presented with requires clarification. For example, you could be asked to review spending, identify a change since the original bid and investigate why the change has occurred.

Working with a variety of stakeholders on a regular basis, you will chair and coordinate meetings with people at all levels of seniority in the organisation.

Your responsibilities will include but will not be limited to: 

  • Supporting the provision of accurate data and reporting.
  • Monitoring the directorate cost centres, ensuring accuracy of expenditure and compliance with Government and agency policies and procedures.
  • Investigating and resolving related queries.
  • To ensure best practice methods are used to provide accurate information which complies with agreed procedures.

Additional Information  

Applications will be accepted from full time/part time/job sharers. Full time roles at DVLA consist of 37 hours per week. Part time and/or flexible working may also be available subject to the needs of the business. On this occasion we are able to consider a minimum of 30 hours per week. This role will be based in Swansea, and we will be operating a hybrid working model that allows you to work between home and on-site giving you greater flexibility about where and when you work, subject to business needs and this also allows for ongoing support, development, and collaboration with colleagues. 

Therefore, the expectation is that you will spend a minimum of 60% of your working time based at your principal workplace (DVLA). We would encourage you to discuss the working arrangements for this role with us during the recruitment process. 

Person specification

We are looking for someone with a basic working knowledge of Microsoft Excel and Outlook. We will train you on SAP if you have not used this previously.

You are highly organised and will thrive managing a varied workload and welcome autonomy to your role, working effectively on your own initiative as well as within a team.

You are a confident communicator with the ability to build positive working relationships and provide a high standard of customer service, and you understand the importance of responding to queries in a timely manner.

You have excellent attention to detail and can spot errors and discrepancies. You will be comfortable challenging where appropriate, and able to engage in constructive discussion in order to reach a resolution.
