Job summary

Sitting at the heart of the Commercial Controls and Assurance team and working to the Deputy Directors, you will lead a number of areas of the team's operational function to make sure that budgets, staffing, in-year reward, governance and other corporate processes are well managed. Working closely with the Senior Leadership Team on cross-cutting corporate and leadership tasks you will have an appreciation of Commercial issues.

Job description

  • Support the Commercial Controls and Assurance team to ensure that they have the right tools, data and information to undertake their assurance activity. Seeking the continuous improvement of teams systems and processes and providing project management of assurance activities as required.
  • Data analysis and reporting - Analyse and categorise cases and conditions in order to identify trends and create an interactive searchable database. Devise and provide metrics on the cases seen.
  • Managing workforce planning, recruitment and monitoring the teams headcount. Ensuring that HR management information is accurate and kept up-to-date and supporting the onboarding and offboarding of members of staff.
  • Provide secretariat support to the fortnightly ministerial panel considering high value/high complexity cases.
  • Develop relationships with appropriate private offices and departments to enable the smooth running of the team and wider function.
  • Managing the budget, overseeing timely and appropriate reporting and coordinating the operational elements of business planning and responses to fiscal events.
  • Acting as the Business Continuity lead for the team, developing and maintaining plans.
  • Coordination of cross-cutting briefings, parliamentary questions and ministerial visits.

The ideal candidate would have the following key skills and experience:

Essential Requirements:

  • Strong IT skills and numeracy, especially being comfortable using spreadsheets and data.
  • High attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to deliver at pace,including managing a varied workload, prioritising effectively and the ability to manage multiple tasks concurrently.
  • Proactive and able to look ahead to anticipate issues.
  • Ability to build and maintain excellent relationships with people at all levels across an organisation. 

Desirable Skills:

  • Experience of minute taking.
  • Experience in providing a coordinating function in the team to support with correspondence, briefings and arranging visits. 
  • Good knowledge of Google products (Gmail/Docs, Sheets, Slides).

Additional information:

A minimum 60% of your working time should be spent at your principal workplace. Although requirements to attend other locations for official business will also count towards this level of attendance.
