Job description

The successful candidates in this post will work with the Commercial Specialist and business areas to deliver the Agency’s commercial activity, ensuring compliance with its legislative and regulatory obligations and in accordance with DVLA Policy and Procedures, and Government Commercial Function best practice. You will also support the broader Directorate and Agency functions through wider corporate responsibility.

You will plan, organise and schedule evaluation meetings, for which you will set agendas and produce minutes. You will collate the meeting documents, which may require you to actively chase stakeholders to ensure that you have everything prepared in advance.

You will take calls from external stakeholders, and provide excellent customer service by resolving their queries or escalating where necessary.

You will be required to navigate multiple systems, undertake complex data entry, draft reports and upload and track contracts.

Your role will involve line managing up to two staff, and we encourage applications from candidates who have no previous line management experience, as we can support you to develop strong skills in this area.

Your responsibilities will include but will not be limited to:

  • Proactively engaging with internal and external key personnel in order to ensure that the contract management arrangements, including memoranda of understanding (MoU), are undertaken in line with best practice.
  • Proactively work with Lead Officers to ensure the successful delivery of sourcing activity.
  • Maintaining accurate management information pertinent to the successful management and delivery of the category portfolio.
  • Undertaking corporate managerial responsibilities commensurate with the grade, e.g. recruitment, grievance and disciplinary cases.
  • Taking minutes and creating agendas for meetings.

Additional Information

Whilst we welcome applications from those looking to work with us on a part time basis, there is a business requirement, for the successful candidate to be able to work at least 30 hours per week. 

This role will be based in Swansea, and we will be operating a hybrid working model that allows you to work between home and on-site giving you greater flexibility about where and when you work, subject to business needs and this also allows for ongoing support, development, and collaboration with colleagues. 

Therefore, the expectation is that you will spend a minimum of 60% of your working time based at your principal workplace (DVLA). We would encourage you to discuss the working arrangements for this role with us during the recruitment process. 

Person specification

We are looking for candidates that have significant experience of working effectively with a variety of stakeholders.

You will possess excellent verbal and written communication skills.

You will have the ability to work effectively independently and as part of a wider team. 

You will be confident, proactive and resilient, with the ability to assess when to delegate and escalate tasks and queries where appropriate. 

You will have excellent attention to detail and record-keep with a high level of accuracy. 

You will be able to work with basic computer skills.

You will be highly organised and will have the ability to prioritise tasks within set deadlines. This is a fast-paced role so you must be able to work at pace, adapting to changing priorities at short notice when appropriate.
