Job description

Your role will be managing the team that project-manages change for the Output Services Group (OSG). We output 110 million letters annually on behalf of DVLA and other Government departments. Any changes required to letters must be risk assessed and formally approved before implementation. You will create Jira tickets to manage these tasks, prioritising and allocating them to your team as appropriate.

You will oversee the change journey, ensuring steps are completed in a timely manner, that quality testing is thorough and the proposed final results are compliant with our standards before seeking sign-off from the business.

This is a busy role and you will be required to manage the multitude of internal and external changes that impact OSG daily. As the communicator between OSG and the wider business, you will introduce new output transactions within OSG to support our stakeholders with the provision of their services.

You will be the primary contact point for all formal change & testing requirements that support the delivery of OSG Services. You will lead the team through change delivery phases – stakeholder management, requirements gathering, application development, user acceptance testing – to live deployment. As part of your stakeholder management responsibilities, you will manage customer expectations, prioritising and communicating effectively with all relevant parties who require changes to existing output transactions. You will be the OCSD Continuous Improvement champion for OSG, where you will ensure the development, implementation, and continued success of the overall Continuous Improvement scheme. You will also be expected to provide Subject Matter Expert support, communicating OSG’s capabilities and working methodologies to ensure the smooth implementation of changes.

Using the Card Production, Print & Mailing functions, Ricoh Process Director, and Jira, you will support the testing of output applications that align our services to the expectation of both customer & supplier.

OSG is a 24 hours, 5 days a week operation serving both internal business areas but also wider government departments such as Home Office, DVA, DVSA and GDS. The successful applicant will be required to work across both OSG Sites, the role will be predominantly standard core times. The nature of the role may also attract elements of travel within the UK and overseas.

Responsibilities

Your responsibilities will include but will not be limited to: 

  • Ensuring the management, monitoring and implementation of all change requests against agreed deadlines.
  • Managing the relationship between OSG Change & Testing Team and wider Agency stakeholders. Ensuring all communications are accurate and that the reporting method is agreed and aligned with the expectation of the stakeholder.
  • Ensuring the expectation of the customer is satisfied through the development of detailed requirements, delivery planning and testing strategies.
  • Prioritising change demands on OSG which add the most value to the business and maintain / manage customer expectations effectively.
  • Line management of a small team.

Additional Information

This role will be based in Swansea, and we will be operating a hybrid working model that allows you to work between home and on-site giving you greater flexibility about where and when you work, subject to business needs and this also allows for ongoing support, development, and collaboration with colleagues. 

Therefore, the expectation is that you will spend a minimum of 60% of your working time based at your principal workplace (DVLA). We would encourage you to discuss the working arrangements for this role with us during the recruitment process. 

Person specification

  • OSG are looking for a committed, strategic-focused individual with strong leadership skills to work within a fast-paced and high-pressure environment. You will work in both an office and industrial environment so must be comfortable with both of these.
  • You will have previous line management experience with the ability to work with integrity and look after your team’s workload and wellbeing. You are clear in communicating instructions and expectations, listening to and acting on feedback, and answering questions to ensure thorough understanding.
  • You are capable of managing resources and priorities flexibly to accommodate deadlines and workloads. There will be times when you are working away from your team so you will entrust them to progress with tasks in your absence.
  • You will be confident and authentic when communicating with stakeholders and managing expectations.
  • You are passionate about continuous improvement and understand the benefits of implementing working practices to improve efficiency, quality and value. You are a proactive forward-thinker, open to taking new ideas on board.
