Job summary

The UKHSA North West Region is looking to appoint an enthusiastic and talented Health Protection Business Support Officer to join our established business support team.

 The post holder will provide day-to-day administrative and  PA support within the region, working within our established business support team (BST) to support the Greater Manchester health protection team.

The successful candidate will maintain effective working relationships with a variety of stakeholders both internal and external to the organisation. As a senior member of the BST, who will manage other staff in the team, the post holder will work with minimal supervision and be expected to work flexibly.

You will be part of a multi-disciplinary team providing a wide range of specific administrative duties that may include leadership of the BST’s role in health protection acute response work, minute taking at senior level meetings, creation and dissemination of regular weekly communications, project support, and/or coordinating corporate returns on behalf of the region. 

Job description

Act as central point of contact for a range of business administration activities, including delegated lead responsibility for certain corporate function processes

Communicate and engage effectively with a range of people, dealing with stakeholder enquiries promptly and courteously by email, telephone, letter or in person, referring to the relevant lead where appropriate

Responsible for the organisation of meetings and events and production of reports, papers, minutes and updating action logs as required. This will include providing secretariat support to teams and other internal meetings and networks as required

Support the development of systems and procedures to ensure efficiency, quality and cost effectiveness across the business support function

Participate in relevant internal working groups/projects, services, and initiatives across the organisation

Contribute to effective information management (maintaining administrative and information resources, i.e., filing systems) and assist with dissemination and / or collation of information/returns, in a timely manner

Post Location

Your contractual and operational base will be in Manchester. The role includes hybrid working which allows for staff who can operate remotely at home and in the office, to fulfil their role and responsibilities in line with the team and UKHSA’s policies and guidance. The successful candidates will be expected to attend site 60% of their working time in line with current Civil Service expectations. On non-office days, the individual may work from home.   Other travel from time to time may be required.

Selection process details

This vacancy will use competency-based questions to assess the behaviours, experience, ability, technical skills/qualifications, strengths and commitment to equality and diversity detailed in the essential person specification.

As part of the application process, you will be asked to provide a detailed Personal Statement / Statement of Suitability of up to 1500 words which will be assessed in line with the criteria listed in the person specification.

Stage 2 – Interview

All candidates who are successful at the sift stage will progress to a single video interview and will be assessed on the essential criteria as advertised.  

Successful candidates must meet the security requirements before they can be appointed. The level of security needed for this role is BPSS 

Interviews are expected to be held in January 2023.
