New entrants to the Civil Service are expected to start on the minimum of the pay band.

The internal roles rules apply to existing Civil Servants, i.e. level transfers move on current salary or the pay range minimum, transfers on promotion move to new pay range minimum or receive 10% increase. Either case is determined by whichever is the highest.

Job description

We have an exciting opportunity for a Business Support Manager to join the business operations team in London Health Protection which is responsible for the operational delivery to the London region. The post is a fixed term role backfilling maternity leave and will report to the Business Operations Manager.

The successful post holder will have responsibility for, but not subject to the following functions; business administration, finance, HR, resourcing, inbox management, onboarding and inductions.

UKHSA operates a hybrid working approach for workplace based roles where business needs allow. This provides us with greater flexibility about how and where we work, to get the best from our workforce. 

As a hybrid worker, you will usually spend a minimum of 60% of your contracted hours (averaged over a month) working at UKHSA’s locations, and/or a partner or stakeholder location. That is approximately 3 days a week in the office (pro rata) and the rest of your time working from home.

Overview of Job

Your key responsibilities will include:

  • Building collaborative relationships with stakeholders
  • Support in maintaining staffing records and compliance
  • Support the efficient delivery of resourcing for the London region including induction process
  • Inbox management
  • Support in carrying out and maintaining UKHSA HR processes and policies
  • Support finance processes, such as raising POs and processing invoices

 

Main Duties of the Job

  • Provide operational support to a range of corporate functions which may include finance, , HR, governance, business continuity, risk management, staff engagement and internal communications.
  • Identify opportunities to make improvements to business processes within individual functions and across the Directorate or for the Director’s office.
  • Provide secretariat and managerial support to the senior management team and other internal meetings and/or external networks.
  • Deputise for Business Operations Manager (if applicable) to cover absence and holidays.
  • Support the Directorate to deliver on the business plan and key priorities in a timely and responsive fashion.

Essential criteria

  • You are detail-focussed, you ensure everything is accurate and error free.

Selection process details

Stage 1: Application & Sift

As part of the application process you will be asked to provide a Personal Statement / Statement of Suitability in no more than 1250 words. We will be assessing essential criteria at sift.

This should outline your skills, experience, and achievements, providing evidence of your suitability for the role, with particular reference to the experience criteria or the essential criteria (outlined in the person specification section).

 You will also be asked to provide information within the ‘Employer/ Activity history’ section of the application form. This is equivalent to the information you would provide on a CV, setting out your career history. This will be used in the sifting process and will be scored.

Please note: The system will allow you to write up to 1500 words but please do not exceed 1250 words. We will not consider any words over and above this number.

Stage 2: Panel Interview

All candidates who are successful at the sift stage will be invited to remote interview via Microsoft Teams.

This interview will assess your experience & strengths and will consist of competency based questions on the essential and desirable criteria listed in the advert

 

Reserve List:

Candidates who pass the interview criteria but are not offered a post will be kept on a reserve list for 12 months and may be contacted if similar roles become available.

If you are interviewed for the post and do not meet the required threshold for the specified grade, your application may be assessed against a similar, lower grade role and you may be offered the post should one be available.

DBS

 

People working with government systems must complete Basic Personnel Security Standard (BPSS) checks which includes a disclosure and barring security check.
