Job summary

Within DCDC you will lead and manage the central Business Support team, consisting of two members of staff, providing a “one-stop-shop” administrative support to the DCDC Director, Department Heads and their teams.

This position is advertised at 37 hours per week.

Strategic Command is going through a significant transformation programme which aims to improve the way the Command conducts its business and delivers for Defence and the nation. As a consequence of this, all posts within Strategic Command Headquarters and in time the wider organisation, are/will be subject to review and potential changes as we continuously improve across the period of the transformation programme. These changes may be minor or could be more substantive and will generate new opportunities.  Throughout, the Command’s transformation programme is committed to following the MOD’s framework on managing and supporting people through the change process and places an emphasis on early and open consultation and engagement with the Command’s personnel and Trade Unions.

Job description

As Business Support Manager you will provide consistent high quality service to a full range of business support functions including SHEF, Conference support, building resources and travel cell duties along with being the Deputy Unit Security Officer.

Person specification

1. DCDC lead for all Safety, Health, Environment and Fire (SHEF) and matters including management of ‘Dogs in Office’ procedures. To keep up to date with legislation and procedures as set out in JSP 375 ensuring that DCDC conforms with MoD Health and Safety policy. Provide accurate and timely advice to all DCDC staff. Member of DefAc SHEF Representative Committee. DCDC building custodian and assist with providing quarterly SHEF management returns to the JFD SHEF team.  Act as Deputy Unit Security Officer.

 

2. DCDC Conference Supervisor for all conference applications and enquires from DCDC staff and outside agencies and ensuring that the planning, organisation and liaison of all conferences is successfully carried out by the Bus Spt team. Ensure the efficient use of facilities available and the quality of DCDC support in preparation and throughout the event by managing the Conference Multiuser calendar and setting up conference rooms for events, liaising with DefAc Events Team when required

 

3. Monitor Taxi usage and scrutinise invoices and book travel via Global Business Travel following authorised travel applications received in the Travel Multiuser inbox.

 

4. Working with the Coord and Information Management teams, develop operating processes to create and maintain a portfolio of aligned business rules, ensuring that work flows more efficiently though the organisation/system. Ownership of the Staff User Guide. Represent the team in the Information Management group as IM Rep and in the Ways of Working group and weekly Coord meetings. Provide regular feedback to SO2 Coord and the team for these group and any BSU issues.

 

5. Holder of an electronic procurement card (ePC) for Group Travel and Subsistence to action requests including for Group Travel, Subsistence and Accommodation, Travel Documentation (Passports/Visas) and Parking Charges and Tolls, good and service, ensuring that the appropriate approval chain has been maintained for audit purposes in line with JSP 332 and 895. Monthly reconciliation of ePC activity to JFD Corporate Governance. Account holder for the on-line MoD procurement system, Contracting, Purchasing and Finance (CP&F) to oversee and action requests for DCDC requirements. Commodity Manager for Reprographics, Non Catalogue Requests, Parcel requests, Passport photos and Mess accommodation.

 

6. Provide support to SO2 Coord including but not limited to: key custodian and Authorising Demand Officer (ADO) for Serco FMEasy requests via Academy Net 2

 

7. Line management of two Bus Spt AO staff.

5. It is highly recommended you focus by providing one example for each behaviour. We would also advise you to use examples that best meet the criteria, even if they are a few years old, using the STAR methodology.

Situation: Briefly describe the background of the situation in which you found yourself.
Task: What you were required to do/chose to do.
Action: What actions you undertook to achieve the tasks. Make sure to use “I”, not “we” to explain how your actions led to results.
Result: Use facts and evidence to demonstrate the results that your actions produced. Explain whether it was a successful outcome, and if not, what you learned from the experience.

6. Please make sure you have consulted the HM Government ‘Success Profiles - Civil Service Behaviours’ document (available on Gov.uk) to ensure you have understood the relevant Behaviours at Level xx for the appropriate grade.
