Job description

This is an exciting time to join the Directors Office for the Roads and Projects Infrastructure Delivery (RaPID) Directorate and the Road Strategy (RS) Directorate. Overall, these Directorates form a large part of the Roads and Local Group (RLG) responsible for England’s motorways and major roads which are known as the Strategic Road Network. We bring together a mix of in-depth expertise including economists and statisticians alongside delivery and policy managers.  We deal with a wide range of issues, ranging from detailed and technical to high level and strategic.

We are looking to recruit to our new formed Directors Office to manage the provision of administrative and corporate support services across both RaPID and Road Strategy Directorates.  This is a unique challenge, and the successful applicant will need to ensure that both directorates are supported to ensure they meet all corporate obligations and adhere to departmental timeframes and deadlines.

The successful applicant will have Line manager responsibility for 2 EO PA’s who will provide daily support to our Deputy/Directors. There may on occasions be a need to provide further bespoke assistance to the Directors and Senior Management Team (SMT) as and when required.

Responsibilities include but are not limited to:

  • Manage and support your PA’s in all functions including diary management, meeting booking, in-box management and other duties as required to assist Directors and Deputy Directors.
  • Manage the Directors Office joint inbox, ensuring work is commissioned, SLAs are adhered too, and a quality service is delivered.
  • You will support the team with procurement across the directorates, which will involve setting up and paying purchase orders, ensuring compliance with all rules around financial claims and keeping detailed records of payments made.
  • As IT support, you will be required to process a varied range of requests from Directorate colleagues which may include setting up folders, email distribution lists, access permissions, new starters/leavers and many more.
  • As Security Liaison Officer, you will be required to support the team in the processing of requests for building passes to our main site offices.
  • You will manage the Business Continuity Plan on behalf of the Directorate ensuring that it is kept up to date and regularly tested.

About you:

We are looking for someone who has exceptional communication skills and can express themselves in a confident and concise manner with colleagues at all levels. You will represent the department both professionally and clearly, ensuring key messages are delivered to both internal and external stakeholders in a timely fashion. You will have good drafting skills with the ability to produce high quality documents.

You will be someone who naturally enjoys working collaboratively with different business areas and likes the challenge of influencing others to achieve business outcomes. You can build rapport quickly with both internal and external stakeholders which enables you to build solid working relationships.

Excellent organisational skills are required and you will be able to manage and filter workflow as well as organise and prioritise your work to maximise productivity and achieve all deadlines. You will be highly adaptable and flexible, adjusting to the requirements of the role.

Additional Information:

A minimum of 60% of your working time should be spent at your principal workplace, although requirements to attend other locations for official business, or carry out detached duty in another DfT workplace, will also count towards this level of attendance. 

The team travels regularly to other DfT offices to meet in person. While this is not a requirement of the role, your attendance is encouraged.
