Job summary

The Project Delivery and Change Directorate (PD&C) sits within Corporate Services, at the Department for Business and Trade (DBT).  

The Directorate oversees DBT’s major change portfolio, ensuring it is aligned and set up to deliver against our strategic priorities, as defined in the Outcome Delivery Plan (ODP). As well as playing a critical assurance role, the Directorate is also responsible for developing the capability of our project delivery and change specialists in DBT, providing advisory support and implementing some of the Departments most complex change programmes. 

The Business Management Support role will be part of the Secretariat Team and be crucial in supporting the directorate across a number of workstreams. You will be responsible for overseeing the daily operations and functions of the directorate, providing essential operational support to streamline daily business operations, ensuring all administrative, corporate and financial tasks are executed efficiently. This will include: 

  • Documentation management including handling, organizing and storing business documentation 
  • Liaising with other managers and stakeholders, including HR and Finance colleagues 
  • Improving business support functions 
  • Ensure cost-effectiveness, efficiency and quality of work 

The post-holder will work closely with civil servants across the Department, managing relationships with internal and external stakeholders.  There are also plenty of opportunities to get involved in workstreams across the directorate.  

Job description

  • Providing high level business support to managers and business areas within directorates, such as assisting with the development of annual business plans, and documentation to support the quarterly review process.  
  • Supporting PD&C Secretariat colleagues working on diverse issues from across the Directorate 
  • Management of logistics for directorates awaydays & events 
  • Act as first point of contact to the Directors handling complex and confidential situations and requests 
  • Supporting the implementation of corporate approaches such as risk management and assurance 
  • Managing queries and requests for information, drafting or coordinating effective responses as appropriate 

Person specification

Essential and Preferred Experience 

  • Experience in a business support or administrative roles 
  • Have the ability to plan, organise and work well under pressure, managing conflicting demands effectively and employing high levels of personal organisation. 
  • The ability to quickly build relationships, advise and challenge others to ensure the best support possible 
  • Able to work collaboratively in a team environment, listening to their needs and work together to progress objectives.  
  • Working knowledge of Microsoft Office packages, including Word, Excel, PowerPoint, Planner and Outlook.

They will be comfortable communicating with a variety of different stakeholders and enjoy working collaboratively in a team environment to meet objectives.  They are a keen learner, taking an interest in tools that can not only help them with their role, but look to help facilitate the department’s wider objectives, improve the quality of service and ultimately progress their own career goals.
