Our Structure

The Business Development Team (BDT) has wide ranging and diverse functions that support the whole of the Investigation and Enforcement Services (IES) directorate and its Director and Assistant Directors. The purpose and activities of the team continue to evolve to meet the changing needs of a growing directorate.

Location and Working Patterns

The role can be based in Birmingham, Cardiff, Croydon, Exeter, Ipswich, Leeds, London, Manchester, Newcastle, Nottingham and Stratford (London) Regular attendance will be required in accordance with the hybrid working model of 60% office attendance. Regular travel will be required in addition to meetings with stakeholders and other regulators. Occasional overnight stays may be required. The jobholder will be required to be flexible regarding the length and timing of the working day to meet the demands of the business.

Job description

The role of Senior Co-ordinator is broad and varied. You will be responsible for managing administrative processes relating to the running of the business and co-ordinating the provision of the services used by IES ensuring they are being managed and maintained. You will be first/second line manager to a small admin team, whilst reporting to both the Head of IES BDT and working closely with IES directors on occasion.

Responsibilities

As Senior Co-ordinator you will be responsible for:

  • Management of admin team, ensuring work is completed correctly and supports the outcomes of the wider team.
  • Managing procurement; creating and managing purchase orders and ensuring payments of invoices is done on time.
  • Managing the reporting of benefits and efficiencies created by across the Directorate.
  • Monitoring of services used by investigation teams (including Tracing agents, Equifax, Altia and data storage)
  • Management of training budgets, conference and events for investigation teams and act as capability champion.
  • The role of senior Local Records Officer for investigation teams.
  • Co-ordinating reasonable adjustments, for staff, including processing and ordering of equipment.
  • Co-ordinating and chairing cross directorate admin manager meetings to encourage best practice and information sharing across the Directorate.
  • Supporting BDT colleagues in the delivery of Tier 2 audits for the directorate.
  • Assisting in the distribution of communications on behalf of BDT and senior management.
  • Assisting in the management of BDT shared inboxes, senior management diaries and co-ordination of meetings.
  • Participating in local management activities, including business planning, risk management and recruitment, as required.

Person specification

The successful candidate will demonstrate:

  • You will be an enthusiastic, adaptable person able to deal with competing priorities across diverse work streams. Adaptability and organisational skills are key.
  • You will be able to independently manage your own workload to address peaks and troughs, whilst effectively managing deadlines and maintaining outputs.
  • You will actively implement principles of Continuous Improvement by being open to innovation and new ideas, by contributing suggestions of your own and/or providing constructive feedback on the ideas or innovations of others.
  • Excellent communication skills: both verbal and written, with the resilience to work confidently and communicate with colleagues across all grades.
  • You will have a dedication to your own personal development and learning.
  • Your ability to use MS Office tools will be strong and enable you to confidently draft and create content in collaboration with your team and senior leaders.
  • Initially the role will involve the management of a small admin team of 5 people, in time this management responsibility is planned to decrease, and your role will pivot to involve more co-ordination of the general activity of Business Development Team.
  • Whilst the post can be located at any of our offices, occasional travel to London will be required for the attendance of meetings.

Selection process details

This vacancy is using Success Profiles (opens in a new window), and will assess your Behaviours, Strengths and Ability.

As part of this, transforming our estate will align us with the government modernisation programmes making The Insolvency Service a great place to work.

Hybrid Working

Insolvency Service operates a hybrid working policy subject to business need, giving people the flexibility to choose when and where they work and collaborate with others.
