Job summary

We have an opportunity for an Executive Office Assistant to join our Executive Office, Board Secretariat, and PA Team. 
 
We are Ofwat, the Water Services Regulation Authority, a non-ministerial government department responsible for regulating the water sector in England and Wales.

Job description

The Role

The Executive Office, Board Secretariat and PA Team is part of the Office of the Chief Executive, which is a group of cross cutting teams. The Executive Office's goal is to ensure that the Chair, Chief Executive and Board Members receive a full and resilient administrative service. 

We’re looking for an Executive Office Assistant to join our Executive Office, Board Secretariat, and PA Team. The team plays an important role in supporting the Executive in shaping our price reviews to ensure water companies provide the services customers pay for.

The Executive Office Assistant role will offer opportunities to collaborate across teams in Ofwat and engage with external stakeholders. It is a busy team that works at pace supporting Ofwat to deliver it's strategic objectives.

As a key member of personnel for the London office, this role requires 3 days per week office attendance. Typically Tuesdays, Wednesdays and Thursdays.

Key Deliverables

In this role you will be expected to: 

  • Assist Teams in organising events and away-days, including booking external venues. You'll use our booking system and ensure best value for money in all events / travel bookings.
  • Build, develop and effectively maintain relationships with key stakeholders (internal and external).
  • Assist Teams in the organising of large meetings, including booking rooms and equipment.
  • Assist Colleagues with the booking of travel and accommodation using Ofwat's designated travel booking system to ensure best value for money.
  • Work closely with the other members of the Executive Office, Board Secretariat and PAs to provide a resilient and comprehensive support.
  • Ordering Stationery, consumables, and other equipment for the London Office.
  • Support the Board Secretariat in the London office with Board meetings, committee meetings, this includes the greeting of visitors, providing refreshments.
  • Act as the point of contact for our outsourced IT service provider within the London Office.
  • To demonstrate the highest degree of confidentiality and accuracy in all record keeping.

To be successful in this role you will need the below essential experience, skills, knowledge and attributes:

Experience, skills and knowledge 

  • Lead Criterion: Proven diary management experience.
  • Lead Criterion: Previous experience of arranging events and/or large meetings. 
  • Flexible and adaptable with the ability to work under pressure within a rapidly changing environment and deal with competing demands.
  • Demonstrable experience of working with a wide range of internal and external stakeholders.
  • Strong IT skills and proficient in the use of Microsoft software suite, specifically, Outlook, Word, and MS Teams.
  • Excellent time management and prioritisation skills.
  • Ability to work autonomously, while keeping others up to date with progress, risks, issues and linkages as appropriate.
