We are looking for an Admin Support Officer to work in the Knowledge & Information Management (KIM) Team which is part of the MHCLG Digital Directorate. As a team part of our work is to manage the lifecycle for both physical and digital records to ensure compliance with relevant legislation and standards and this post supports that work.

This role is to undertake a variety of administrative duties to support our Review Officers. The work will require the use of Excel, SharePoint, Teams and Word and will involve an element of manual handling.

The post is based in our Hastings, East Sussex office, and is for a 12 months, full time (or close to full time), fixed term appointment. As the work needs to be undertaken in the office this is a 100% office-based role.

Our Hastings office is in the centre of town and is small and friendly. There are several teams that work in the location and within our KIM team there are 14 of us.

Job description

As an Admin Support Officer, you will: 

  • assist with a large-scale project to check, catalogue, or destroy a large volume of physical records
  • scan documents and prepare them for transfer to offsite store
  • assist current support staff with routine requests for retrieval of files and documents if required
  • assist with ad-hoc office duties, including shredding, deliveries, and post collection
  • assist Review Managers with ad-hoc tasks, including searching for barcodes and occasional visits to offsite store
  • prepare files selected for permanent preservation in accordance with The National Archive standards
  • help with other work as required.

AO salary 

  • The salary for this role is £25,824 (National). 
  • For existing civil servants, the usual policy on level transfer and promotion will apply and is non-negotiable. 
     

Please note that the average employer pension contribution is based upon the National minimum salary for this role. Should your agreed starting salary for this role be different, the average employer pension contribution will be calculated accordingly. If you are a Secondee, this will not apply as you will remain on your home organisation’s terms and conditions.

Geographical Location: Hastings

    Internal Fraud Database 

    The Internal Fraud function of the Fraud, Error, Debt and Grants Function at the Cabinet Office processes details of civil servants who have been dismissed for committing internal fraud, or who would have been dismissed had they not resigned. The Cabinet Office receives the details from participating government organisations of civil servants who have been dismissed, or who would have been dismissed had they not resigned, for internal fraud. In instances such as this, civil servants are then banned for 5 years from further employment in the civil service. The Cabinet Office then processes this data and discloses a limited dataset back to MHCLG as a participating government organisations. MHCLG then carry out the pre employment checks so as to detect instances where known fraudsters are attempting to reapply for roles in the civil service. In this way, the policy is ensured and the repetition of internal fraud is prevented.

    Fixed Term Details 

    For external candidates – you will be offered a 12 months fixed term appointment.
